Handover: June 12, account executive Priya Shah to customer success manager Sam Rivera. Account: Northstar Design; Lee Chen leads customer operations. The team wants to prepare its weekly pipeline report with less manual copying. Discovery is complete, and Lee asked to see a sample workflow before the July planning meeting.
Confirmed: Lee and the sales director will assess fit. Finance may review any proposed spend. No budget range or delivery date has been agreed. Keep those points open instead of presenting them as commitments.
In progress: Priya will send a sample workflow by June 14. Lee will share the reporting criteria. Sam will review both before the June 18 call and ask whether the team's current activity data can be exported. How to write handover notes
- Set the purpose. Name what is changing hands and why: a shift, a role, an account or a project. Include the handover date and both people's names.
- Summarize the current state. Capture the goal, work completed, work underway and the next meaningful milestone. Keep background brief and relevant to the next decision.
- Separate facts from assumptions. Label questions that still need an answer. Avoid turning a tentative idea, estimate or sales discussion into a confirmed promise.
- List every open action. Write one action per line with an owner, due date and status. Include actions owed by your team and by the person or client on the other side.
- Point to useful context. Identify the approved place for related files and any access needed. Follow your organization's privacy and retention rules; include only information the next owner needs.
- Agree on the handoff. Walk through urgent items with the incoming owner, confirm who handles the next contact and give the recipient time to ask questions.
- Review and close the loop. Check names, dates and commitments. After the handover, update the normal work tracker so the note and current status do not drift apart.
